Services

Commercial maintenance services for shops, kiosks and multi-site operators

Reactive repairs, planned maintenance, compliance administration and store projects — run through one managed point of contact and a vetted UK contractor network, with photo evidence on every close-out.

What we offer

If it breaks at a commercial site, we coordinate the repair.

  • Reactive Maintenance Coordination

Intake, triage, contractor assignment, quote control, attendance chasing and verified close-out.

  • Planned Maintenance (PPM)

Recurring service schedules, work orders, attendance monitoring and follow-up actions.

  • Compliance Administration

Certificate register, due-date reminders, provider booking, document chasing and remedial tracking. Inspections and certificates are carried out by competent certified providers.

  • Projects & Store Works

Kiosk moves, refreshes, signage and multi-trade works, each separately scoped and quoted.

  • Reporting & Visibility

Monthly KPI, spend, ageing and compliance reporting across the portfolio.

In detail

What each service covers

Every service runs through the same coordinator, the same evidence standard and the same monthly report.

Reactive Maintenance

When something breaks, one coordinator owns it until it is verified complete. We receive the request, confirm priority and access, coordinate a suitable contractor, follow attendance and check the evidence before closure.

  • Structured intake with site, photos, urgency and access
  • Priority set at triage — P1 to P3 plus compliance
  • Quote and variation approvals against agreed limits
  • Before and after evidence at close-out
  • Cost reconciled against the approved quote

Planned & PPM

Plan recurring maintenance before faults become urgent. Planned visits, reminders, contractor attendance, asset records and follow-up, so recurring requirements never depend on one person’s calendar.

  • Site and asset register built during mobilisation
  • 90/60/30-day reminders or your own lead times
  • Contractor booking, permits and access confirmed
  • Asset history: last service, next due, parts fitted
  • Recommendations tracked as remedial actions

Compliance

Keep recurring compliance visible before it becomes overdue. We maintain the administrative control layer: responsibility mapping, due dates, competent-provider bookings, certificate capture and remedial tracking.

  • Responsibility recorded per site — client, landlord or centre
  • Requirements register maintained per site and asset
  • Competent-provider qualification checks
  • Certificates captured with expiry tracked
  • Remedials converted to actions with owner and deadline

Projects & Store Works

Coordinate site works through one project owner and one evidence trail. Scope, contractors, shopping-centre permits, RAMS, access, logistics, attendance and close-out for agreed commercial site projects.

  • Scope development with drawings, surveys and exclusions
  • Permits, RAMS and access windows arranged
  • Multiple trades sequenced with dependencies
  • Live action, owner, date and risk tracking
  • Handover with snagging, certificates and final cost

Reporting & Visibility

Monthly KPI, spend, ageing and compliance reporting across the portfolio — and a client portal where authorised users see live jobs, approvals, spend and evidence for their own sites.

  • Monthly report on jobs, spend and compliance status
  • Ageing of open jobs by site and priority
  • Spend by site, trade and contractor
  • Evidence and certificates kept against each job

Trade by trade

The faults we coordinate most

The common calls from retail and commercial sites, and how each one is handled.

  • Electrical & Lighting work on a commercial site

    Electrical & Lighting

    • Lighting circuit tripping
    • No power to a till bank or zone
    • Emergency lighting failure
    • Distribution board alarm
    • External sign not illuminating

Fixed-wire testing and certification are carried out by qualified electrical contractors — we schedule and record them.

  • Doors & Shutters work on a commercial site

    Doors & Shutters

    • Roller shutter jammed or off track
    • Automatic door not closing
    • Fire door closer failed
    • Lock or access control fault
    • Barrier or gate damage

A shutter that will not close is a security and trading issue — these are triaged as P1 or P2 by default.

  • Leaks & Drainage work on a commercial site

    Leaks & Drainage

    • Leak above a customer area
    • WC or urinal blockage
    • No hot water
    • Drain smell in back of house
    • Roof or gutter water ingress

Water near electrics escalates automatically. Make-safe first, permanent repair scheduled after.

  • Heating & Air Con work on a commercial site

    Heating & Air Con

    • Air conditioning not cooling
    • Heating not reaching set point
    • Condensate leak from a cassette
    • Ventilation fan noise
    • AHU filter alarm

Recurring HVAC faults are flagged for a planned intervention rather than repeated call-outs.

  • A Maintsupp engineer on a stepladder adjusting a ceiling dome CCTV camera beside a store entrance with an access-control keypad

    CCTV & Security

    • Camera offline or no recording
    • Access control fault
    • Intruder alarm activation
    • Intercom or entry fault
    • Damaged security fixture

Security faults are coordinated with your own security provider where one is contracted.

  • Fabric & Finishes work on a commercial site

    Fabric & Finishes

    • Ceiling tile water damage
    • Flooring lifting at an entrance
    • Damaged wall or counter finish
    • Broken shelf or fixture bracket
    • Graffiti to the shopfront

Cosmetic works are usually batched into a planned visit to avoid paying multiple call-out charges.

  • A Maintsupp refrigeration engineer checking a display chiller of drinks and sandwiches with a digital temperature gauge

    Refrigeration

    • Display chiller running warm
    • Freezer icing up
    • Cabinet door seal failure
    • Condenser fan fault
    • Temperature alarm

Stock-at-risk faults are treated as P1 regardless of trading impact.

  • Signage & Glazing work on a commercial site

    Signage & Glazing

    • Cracked or broken glazing
    • Fascia sign panel damage
    • Illumination failure to signage
    • Window film or vinyl damage
    • Shopfront impact damage

Broken glazing gets a make-safe attendance first, with permanent replacement scheduled after survey.

Who we help

Built for retailers and commercial operators without an in-house FM team.

  • Retail chains

Stores where a shutter that will not lift is a day of lost trade.

  • Shopping-centre kiosks

Units inside a landlord's estate, with permits and out-of-hours access.

  • Clinics & wellness

Sites where compliance paperwork is inspected, not just filed.

  • Gyms & studios

Long opening hours, heavy equipment and plant that runs all day.

  • Small commercial offices

Portfolios too small for an in-house team and too large to wing it.

Typically 5–50 locations spread across regions on a monthly plan — and single shops and kiosks in London, one job at a time.

Your contractors or ours

Keep the trades you trust. Use ours for the rest.

Coming to MAINTSUPP does not mean replacing your contractors. Bring the ones who already know your sites, use our vetted panel where you have no cover, and run both through one process — with one report at the end of the month.

  • Your contractors

Keep the trades who already know your sites.

    • Onboarded on insurance, qualifications and documentation
    • Your agreed rates, unchanged — we do not renegotiate them
    • Scored on the same performance measures as everyone else
    • No transfer, no notice period, no exclusivity
  • Our vetted network

Cover for the trade, the region or the hour you have nobody for.

    • A vetted UK panel, sourced by trade and by region
    • Documents checked before any work is released
    • Performance-managed, and replaced where the scores say so
    • Used for one trade or the whole portfolio, as you choose

Most portfolios run a mix, and the split is yours to set — per trade, per region or per site, changed whenever you want it changed. Whichever panel a contractor comes from, they invoice you directly at their own agreed rates: the coordination fee is the only thing Maintsupp charges for.
